1. Introduction

Welcome to RunnersRoute. We provide training management tools for athletes and coaches. This Privacy Policy explains how we collect, use, and protect your personal and fitness data when you use our portal and connect your wearable devices.

2. Data We Collect

To provide our training services, we collect the following types of information:

  • Account Information: Name, email address, and profile details.
  • Fitness & Health Data: If you authorize a connection, we collect activity data (GPS routes, distance, pace, duration), biometric data (heart rate, power, cadence), and training metrics from:
    • Garmin Connect
    • COROS Training Hub
    • Polar Accesslink
    • Apple Health (HealthKit)
  • Coaching Data: Training plans, structured workouts, and coach feedback.
  • Coaching Enquiry Data: Your contact details, town or city, current running, goals, availability, coaching preferences and any limited injury or health context you choose to provide. For under-18 enquiries, this also includes the parent or guardian name, email and confirmation recorded on the form.

3. How We Use Your Data

We process your data strictly for the following purposes:

  • Training Synchronization: To push structured workouts from your coach's schedule directly to your wearable device.
  • Performance Analysis: To automatically sync your completed activities so you and your coach can review progress.
  • Service Improvement: To maintain and optimize the RunnersRoute portal experience.
  • Coaching Enquiries: To assess your request, recommend a suitable service, contact you and manage follow-up. We process the ordinary enquiry information because you have asked us to take steps before potentially entering a coaching agreement. We process any health context you choose to provide with your explicit consent.
  • Optional Marketing: To send occasional coaching news and training advice only where you have separately opted in. You can withdraw that consent at any time.

4. Data Sharing and Third Parties

Your privacy is our priority. We do not sell your health or fitness data to third-party advertisers or data brokers. We only share data with third parties in the following circumstances:

  • Wearable Platforms: Data is shared with Garmin, COROS, Polar, or Apple only to facilitate the syncing of workouts you have requested.
  • Service Providers: We use Vercel to host the coaching application and Supabase to store enquiry and coaching data. These providers process data only to deliver the service and are subject to their data protection and security terms. A configured email provider may receive only the minimum information needed to alert Martin that a new enquiry is waiting; fuller answers remain in the protected dashboard.
  • Legal Requirements: Only if required by law to comply with a valid legal process.

5. User Control & Data Retention

  • Revoking Access: You can disconnect your wearable device from RunnersRoute at any time via the "Settings" menu in our portal or through the "Connected Apps" settings on your device manufacturer's website.
  • Data Erasure: You have the "Right to be Forgotten." Upon request to martin@runnersroute.co.uk, we will permanently delete your account and all associated fitness data from our servers.
  • Enquiry Retention: If you do not become a client, we normally delete or anonymise your coaching enquiry within 12 months of the last meaningful contact. If you become a client, relevant information becomes part of your coaching record and is retained only for as long as needed for the service, legal obligations and the handling of any dispute. Records are reviewed and may be deleted sooner when no longer needed.

6. Security Measures

We implement industry-standard security protocols (including HTTPS encryption) to protect your data from unauthorized access, loss, or disclosure.

7. Compliance (UK GDPR / International)

As a UK-based service, we comply with the UK General Data Protection Regulation (UK GDPR). Health information is treated as special category data. We collect only limited health context needed to judge whether coaching may be appropriate, use it with explicit consent, restrict access to the protected coaching dashboard and do not make solely automated decisions about whether to coach someone. Wearable health or fitness data is processed only after the relevant connection and consent steps.
